Responsibilities

– Review inbound project requests and build timelines in partnership with creative leads
– Schedule production timelines and approvals, all while balancing priorities and capacity
– Maintain and evolve project workflows in Basecamp and our shared planning tools
– Drive quarterly systems improvements based on team feedback
– Source and maintain vendor options for events and swag
– Coordinate stakeholder approvals and ensure items align with event logistics
– Oversee company storefront logistics, inventory tracking, and special order fulfillment
– Manage vendor contracts, scopes of work, and invoice processing
– Track spend and assist with reconciliations across marketing projects
– Coordinate with Legal to ensure marketing assets and partnerships meet requirements

Requirements

– 2+ years of experience in project management, marketing operations, or a similar coordination role
– Confidence managing creative timelines and budgets across multiple stakeholders
– Excellent organization and communication skills
– Experience with project management tools is required; proficiency in Wrike is a major plus
– Comfort juggling deadlines, vendor communications, and system improvements all at once
